Privacy Policy

1. Who we are

Launch Safe provides a cloud-based compliance management platform for property portfolios. In this policy, "we", "us" and "our" refer to Launch Safe. We act as a data controller for account information and as a data processor for the compliance data uploaded by our customer organisations.

2. Information we collect

We collect information you provide directly, including your name, work email address, organisation, role, and any content you upload such as inspection notes, photos, documents, building records, resident contact details and contractor details. We also collect basic technical information — such as browser type, device information, IP address and audit logs — needed to operate the service securely.

3. How we use your information

We use your information to provide and improve the platform, authenticate users, generate reports and AI-assisted outputs, respond to support requests, and communicate about service updates. We do not sell your data and we do not use it for third-party marketing.

4. Legal basis for processing (UK GDPR Art. 6)

• Contract — providing the platform to your organisation.
• Legitimate interests — securing the service, preventing misuse and improving product quality.
• Legal obligation — where we must retain records for tax, audit or safety-related duties.
• Consent — for optional communications only. You may withdraw consent at any time.

5. Data storage and security

Data is stored securely within our cloud infrastructure with encryption in transit. Access to production systems is restricted to authorised personnel, protected by role-based access control and row-level security in the database. We take reasonable technical and organisational measures to protect your data, but no online service can guarantee absolute security.

6. Sub-processors and sharing

We share information only with the service providers required to run Launch Safe — such as our hosting, database, email and AI processing providers — under contracts that require them to protect your data. A current list of sub-processors is available on request. We may disclose information where required by law or to protect the rights, safety or property of Launch Safe or its users.

7. International transfers

Where personal data is transferred outside the UK or EEA, we rely on appropriate safeguards such as UK International Data Transfer Agreements or Standard Contractual Clauses with our sub-processors.

8. Data retention

We retain account and compliance data for as long as your organisation maintains an active subscription, plus a reasonable period afterwards to meet legal, audit and backup requirements. On request, we will delete or return data in line with our agreement with your organisation.

9. Your rights

You may have the right to access, correct, delete, restrict or object to processing of your personal data, and to request data portability. Signed-in users can export or delete their profile data directly from the Profile page. All other requests can be sent to us using the details below and are actioned within one calendar month. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

10. Data breaches

We maintain an internal process to detect, contain and investigate personal data incidents. Where a reportable breach occurs, we will notify the ICO within 72 hours and inform affected customers without undue delay, in line with UK GDPR Articles 33 and 34.

11. Cookies

We use a small number of essential cookies to keep you signed in and to keep the service secure. We do not use advertising cookies or sell browsing data.

12. Changes to this policy

We may update this policy from time to time to reflect changes in our service or legal obligations. We will notify active users of material changes by email or in-app notice.
